1. Starting Your Stay

    Admission & Check-in

    Complete the admission form and submit required documents. Complete verification and payment formalities. Receive your room/bed allocation and inventory. Understand key residence rules, emergency contacts and access procedures. Complete the welcome orientation.

    Keep Your Information Updated

    Residents must promptly inform the residence of changes to mobile number, parent/guardian details, educational institution details, medical information or emergency contacts.

  • 3

    Your Room

    Treat your room as your home and the residence's property with care. Keep it reasonably clean, report maintenance issues promptly and do not make unauthorised alterations.

2. Living the Pratham Way

    Respect & Community

    Treat residents, staff and visitors respectfully. Respect privacy, personal belongings and shared spaces. Keep noise reasonable, especially during study and night hours. Resolve disagreements calmly and seek staff support when needed. Along with learning, make time to have fun, build friendships and enjoy responsibly.

    Cleanliness

    Maintain personal hygiene and keep your room tidy. Dispose of waste in designated areas. Leave common facilities clean after use. Cooperate with housekeeping and maintenance schedules.

    Property & Facilities

    Use furniture, fixtures, utilities and common facilities responsibly. Damage, faults or unsafe conditions should be reported immediately. Deliberate or negligent damage may be chargeable.

3. Safety & Security

    At All Times

    Follow entry, access, key and visitor procedures. Do not share keys, access credentials or security information. Report suspicious activity, unsafe conditions or security concerns immediately. Do not interfere with CCTV, fire equipment, emergency lighting or other safety systems. Follow staff or emergency-service instructions during an emergency.

    Visitors

    Visitors are permitted only in accordance with residence policy and must complete the required entry process. Residents are responsible for ensuring that their visitors respect residence rules.

    Leave & Late Entry

    Residents must follow the notified leave and late-entry process and provide accurate information. Where parent/guardian confirmation is required, the applicable procedure must be followed.

4. Health, Hygiene & Well-being

    Medical Assistance

    If you are unwell or require medical assistance, inform the Warden or Residence Manager promptly. In an emergency, the residence will facilitate immediate assistance and inform the parent/guardian as soon as practicable.

  • 2

    Communicable Illness

    Residents experiencing symptoms of a contagious illness should seek appropriate medical advice and inform the residence so reasonable precautions can be taken.

  • 3

    Emotional Well-being

    You may approach the Warden or Residence Manager if you need guidance or support. Where appropriate, the residence may help you connect with professional services.

  • 4

    Healthy Living

    Adequate rest, physical activity, balanced nutrition and responsible routines are encouraged. Pratham Girls Residence does not provide meals; residents arrange their own food.

5. Conduct & Discipline

    Expected Conduct

    Follow residence timings, policies and reasonable staff instructions. Cooperate during safety checks, inspections and emergencies. Be truthful in information provided to the residence. Respect the rights and well-being of others.

    Strictly Prohibited

    Ragging, bullying, harassment or discrimination. Violence, abusive language, threats or intimidation. Theft, vandalism or deliberate property damage. Alcohol, tobacco, illegal drugs or illegal substances. Weapons or hazardous materials. Any illegal activity or conduct that endangers another person.

    Disciplinary Action

    Depending on the seriousness and frequency of a violation, management may use counselling, written warning, parent/guardian notification, restriction of privileges or termination of residence. Action will be fair and proportionate.

6. Communication, Feedback & Grievances

    Speak Up Early

    Residents are encouraged to communicate openly and early. Routine questions, suggestions and concerns may be raised with the Warden or Residence Manager.

  • 2

    If You Have a Grievance

    Explain the concern clearly to the Warden or Residence Manager. Allow reasonable time for review and resolution. If unresolved, or if the matter requires higher review, request escalation to the designated authority. Concerns are handled respectfully and confidentially where appropriate — safety or serious welfare matters should be reported immediately.

7. Emergencies

    In an Emergency

    Stay calm and follow authorised instructions. Evacuate or take shelter as directed. Do not block exits or interfere with emergency equipment. Contact staff immediately if someone requires urgent assistance. Do not re-enter an evacuated area until authorised.

    Emergency Situations

    Emergency procedures may apply to fire, medical emergencies, natural disasters, utility failures and security incidents. Emergency contact information will be displayed or otherwise communicated by the residence.

8. Moving Out

    Notice & Clearance

    Residents leaving the residence must follow the applicable notice and clearance process: confirm the check-out date with management, clear outstanding dues (if any), return keys and residence property, complete room and inventory inspection, and complete exit clearance and any applicable deposit/refund formalities.
